Frequently asked questions
Short answers to the questions we hear most. If yours is not here, the complimentary introductory call is the fastest way to get it answered.
Getting started
The introductory call
How much does the first call cost?
Nothing. The 15-minute introductory call is complimentary, by phone or Google Meet, with Jorge. You describe your concern and the deadlines you know about, hear how the firm evaluates a case, and find out whether a diagnostic engagement is the right next step.
Do I have to come to an office?
No. The firm is based in Port St. Lucie and works virtually with clients nationwide: phone, video and secure document exchange.
What should I have ready for the call?
The most recent IRS or state letter, a rough idea of the balance and the tax years involved, and whether any returns are still unfiled. No written summary is required. Have your notice handy; we'll guide you through the questions.
Who will I be working with?
Jorge Fernandez, CPA since 1991, takes the introductory call and is the named professional responsible for your engagement. A team of accounting professionals, including CPAs, handles the books, the returns and the advisory work with him.
How quickly will you reply to my message?
We reply within two business hours, Monday through Friday, 9:00 AM to 5:00 PM Eastern.
Tax resolution
IRS and state tax debt
Will you talk to the IRS for me?
Yes. With a signed authorization, the IRS deals with the firm directly. You stop taking the calls and letters alone.
The deadline on my notice has already passed. Is it too late?
Usually not. Some options close when a date passes, others stay open, and the IRS process has several stages. Bring the letter to the introductory call and you will hear whether a diagnostic is worth it at this stage.
What is the diagnostic engagement?
A fixed-fee review of your IRS transcripts and records, under a signed authorization, that ends with a written read of where you stand and the options that fit. It is covered by our diagnostic value guarantee: if you find no value in the diagnostic, there is no charge. The terms are explained in the engagement agreement.
What does tax resolution cost?
The introductory call is complimentary. The diagnostic is a fixed fee, backed by our diagnostic value guarantee. The resolution work depends on the balance, the years involved and the option we pursue, and you get that fee in writing before any case work starts.
Can you promise a specific result?
No. Results depend on the facts of each case, and we do not guarantee a specific outcome.
Tax preparation
Returns
When should I send my documents?
As soon as you have them. Send what you have and contact us promptly about anything missing. We'll assess the filing deadline and whether an extension is available. An extension gives you more time to file, not more time to pay.
Who prepares and signs my tax return?
Your return is prepared by our accounting team and reviewed and signed by a CPA. Your questions are answered before anything is filed.
I have not filed for several years. Can you help?
Yes. Unfiled years are handled under tax resolution, then the current year is prepared normally.
I filed elsewhere and just received an IRS notice. Can you help?
Yes. Bring the notice and the return to the introductory call. We'll discuss your notice and situation, then determine whether further review or a diagnostic is appropriate.
Accounting and advisory
Books, advisory, CFO support
Do you work with QuickBooks Online and Xero?
Yes. We support both QuickBooks Online and Xero. If you are on spreadsheets or desktop software, we discuss the move on the intake call.
When will I receive my monthly financial statements?
We agree on a reporting schedule with you, normally closing the books by the 15th of the following month, provided the necessary records are received on time.
Are quarterly planning calls included?
Quarterly planning calls, additional filings, and ongoing advisory are provided as needed and within the agreed engagement scope. The scope is written into your engagement agreement before the first month.
Do you run payroll?
Payroll is processed through a payroll provider; the firm sets it up, reconciles it in the books and makes sure filings and deposits are on time.
What does monthly bookkeeping cost?
A monthly fee quoted in writing after the intake call, based on the number of accounts and the volume of transactions. Cleanup of past months is quoted separately as a fixed fee.
What are Fractional CFO and Controller Services?
Part-time financial leadership inside your monthly accounting: month-end close reviewed by a CPA, reporting your lender or partners can rely on, cash flow forecasting and budgets. We agree on a meeting and reporting schedule that fits your business and the scope of our engagement.
Real estate
Investors and rental owners
I have one rental. Is planning worth it?
Often yes. Depreciation, repairs versus improvements and how the income is reported are decisions that apply from the first property.
Do you work with investors outside Florida?
Yes. The firm works with investors nationwide, and with foreign owners of U.S. property, by phone, video and secure document exchange.
